Privacy Policy

JVHS Clubs is an independent, student-run project built to help Jersey Village High School students find clubs, join them, RSVP to events, and track volunteer hours. It is not an official Cypress-Fairbanks ISD systemand has not been reviewed, endorsed, or hosted by the district. It runs on infrastructure the project operator controls (see “Where your data lives” below), not district servers.

What we collect

When you create an account, we collect:

Your first and last name
A personal email address you provide
Your school Student ID (used as your login username)
A password (stored in hashed form — we never see or store it as plain text)
Your grade level

As you use the site, we also collect:

Which clubs you join and your membership status
Event RSVPs
Volunteer hours you log, including any photo proof you choose to upload
Officer role applications and, if approved, officer/president status
Messages you post in a club's Q&A section
Notification and display preferences

How we use it

We use this information to run the features you'd expect: showing you clubs and events, recording your volunteer hours, letting officers manage their club's roster, and sending you email notifications (RSVPs, hour approvals, officer requests, etc.) at the personal email you provided.

If a club's officer turns on Google Sheets sync for hour tracking, approved volunteer hours for that club — including your name, Student ID, and hour totals — are written to a spreadsheet that officer controls. This is opt-in per club and only affects members of that club.

We do not sell your data or share it with advertisers.

Who can see what

You can always see your own full profile and activity.
Other approved members of a club you belong to can see your name, grade level, and (on the club's volunteer-hours roster) your Student ID, along with that club's hour logs and event RSVP lists.
Officers and admins of a club can see its full roster, hour log submissions, and officer applications, so they can approve or manage them.
Your personal email address is never shown to other students or officers — only to you and site admins.
Site admins can access account information for support, moderation, and enforcement.

Where your data lives

We rely on a small number of outside services to run the site:

Supabase— database, authentication, and file storage (uploaded photos, club media, resource files)
Vercel— hosting
Resend— sending notification emails
Google Sheets— only for clubs whose officer has opted in to hour tracking sync, as described above

How long we keep your data

Your data is kept while your account is active. Because most accounts belong to students who will eventually graduate, accounts become eligible for removal approximately one year after your estimated graduation date, based on the grade level on file. Deletion is reviewed and carried out by a site admin, not an automated process, so a student can always ask us to keep, correct, or delete their account sooner.

Your choices

Update your grade level and notification/theme preferences any time from Account settings.
Change your password from Account settings.
Leave any club you've joined.
Request a copy of your data, a correction, or full account deletion by contacting us.

Security

Passwords are hashed, never stored in plain text. All traffic is encrypted over HTTPS. Access to your data within the app is restricted by role (student, officer, admin) and club membership, enforced at the database level.

Children's privacy

JVHS Clubs is intended for high school students and staff, generally ages 13 and older. It is not directed at children under 13, and we do not knowingly collect information from anyone under 13.

Changes to this policy

If this policy changes, we'll update the date at the top of this page. Significant changes will be noted here.
